Privacy Policy

This policy explains what personal data Aether Digitals collects, why, and what rights you have over it. It covers both this website and the Aether Voice AI receptionist service.

01Who we are

Aether Digitals is based in Naas, Co. Kildare, Ireland. For data you give us directly through this website — a contact form, the chat widget, a trial enquiry — we are the data controller.

For calls handled by Aether Voice on behalf of a client business, that business is the data controller and Aether Digitals is the data processor. We process call data on their written instructions, under a separate data processing agreement.

02What we collect

  • Website enquiries: your name, email address, phone number, business name, and anything you choose to write in a message.
  • Chat widget: the messages you send and any contact details you provide in them.
  • Calls handled by Aether Voice: the audio of the call while it is in progress, a live transcript used to generate the agent's reply, and any details the caller gives (name, number, reason for calling).
  • The live demo on this website: the website address you enter, the business details we read from that site, your microphone audio while the demo call is running, and a transcript of the conversation.
  • Technical data: IP address, browser type, and pages visited, used to keep the site working and secure.

03What we do not collect

Aether Voice does not currently store call recordings or transcripts after a call ends. Audio is processed in real time to produce the conversation and is not retained by us. Call summaries, outcome logging and the reporting dashboard are still being built; when they ship, this policy will be updated before they are switched on for any customer.

The live demo on this website works differently. Demo calls run through Retell, and a transcript of the conversation may be kept in our account so we can review how the demo performs. It is kept only as long as we need it for that and is deleted on request. Please don't share anything sensitive during a demo call.

We do not sell personal data, and we do not use call content to train AI models.

04Legal basis

  • Consent — for marketing email, and for non-essential cookies.
  • Contract — to provide the service to a customer who has signed up or started a trial.
  • Legitimate interests — to answer an enquiry you send us, to keep the site secure, and to prevent abuse of the service.
  • Legal obligation — where we have to keep records, for example for tax.

05Who else processes your data

Running a voice agent means a call passes through a small number of specialist providers. Each is engaged as a sub-processor under contract:

  • Retell AI — audio, speech and the AI model for the live demo on this website. Groq — reads the public website address you enter, to prepare the demo.
  • LiveKit — real-time audio transport for the call.
  • Cartesia — speech-to-text and text-to-speech.
  • Groq — the language model that generates the agent's replies.
  • HubSpot — storage of enquiries submitted through this website.
  • Vercel — website hosting and request logs.

06International transfers

Some of the providers above process data outside the European Economic Area. Where that happens, transfers rely on the European Commission's Standard Contractual Clauses or an equivalent safeguard. You can ask us for details of the safeguard applying to a specific provider.

07How long we keep it

  • Website enquiries: kept while we are in contact with you and for two years after our last exchange, then deleted.
  • Call audio: not retained after the call ends.
  • Live demo transcripts: only as long as needed to review the demo, and deleted on request.
  • Billing records: kept for six years, as Irish tax law requires.

08Your rights

Under the GDPR you can ask us for a copy of the personal data we hold about you, ask us to correct it, ask us to delete it, object to how we are using it, or ask us to restrict that use. You can also withdraw consent at any time where consent is the basis we rely on.

Write to hello@aetherdigitals.com and we will respond within one month. If a call was handled by Aether Voice on behalf of another business, we will pass your request to that business, since they are the controller for that call.

If you are unhappy with how we have handled your data you can complain to the Irish Data Protection Commission at dataprotection.ie.

09AI disclosure on calls

Where Aether Voice answers a call, the agent identifies itself as an AI receptionist. Callers who would rather speak to a person can say so and the call is handled accordingly.
